SignUp Software: Supplier Invoice Automation with Microsoft

Today, most organizations have a mix of incoming e-invoices, e-mail-based pdf-invoices, and paper invoices. Without Automation, AP departments risk costly human error mistakes, duplicate payments, fraudulent payments, and missed early payment discounts. This has been one of the most challenging parts of management until SignUp Software made its way into the market. SignUp Software was founded in 1999 as an Independent Software Vendor and now has over 90 resellers across the globe. Over the years, SignUp Software has built a solid reputation on Microsoft Dynamics expertise showcased by its Accounts Payable (AP) and invoice process automation solution ExFlow. Globally, more than 1,300 customers rely on ExFlow to empower their AP and Invoice processes in over 60 countries.

SignUp Software’s AP Automation solution ExFlowis a built-in, feature-rich AP Invoice Automation solution developed specifically for Dynamics 365 Business Central (NAV) and Dynamics 365 for Finance and Operation (AX).

ExFlow enables organizations to increase efficiency, transparency, and control in their AP Invoice process, driving down invoice processing costs, while generating substantial savings. By streamlining and digitising the AP Process inside D365, ExFlow also improves visibility, enabling Accounts Payable to improve their supplier interactions as well as allowing AP to stay on top of all invoices that are out for approval. With AP Automation in place, invoices and invoice process data is made available to the greater organization, positively impacting both finance and procurement with real-time insight on it’scash flow. “Customers using ExFlow benefit from the primary benefits of efficiency, and cost and control visibility. Additionally, ExFlow is as secure as Microsoft because it is built into Microsoft Dynamics,” explains Olof Hedin, CEO, SignUp Software.

What sets ExFlow apart from competitors is that it is Microsoft Preferred and Microsoft Certified, and most importantly, built into Dynamics. This means there are no integration costs, AP staff don’t have to learn how to use another system, IT doesn’t need to support a new system, and there are no delays with invoices entering the ERP.  There is full visibility into the history of each invoice in real-time, and Finance Managers can trust that the liabilities in their system are up-to-date and accurate.  “We also have local support around the world, with offices in North America, Europe, and Asia Pacific to ensure customers have quick and helpful responses,” points Hedin.

One of the more compelling reasons organisations choose to automate their AP departments is that solutions like ExFlow are more sustainable than manual, paper based processes. Digitizing Accounts Payable saves printing paper and physical storing of documents. Moreover, while manual processes such as chasing down invoice approvals and data entry are tedious and unfulfilling, AP staff using ExFlow can focus on higher-level tasks that are more engaging and value-adding to their organisation.

When it comes to the development side, the ExFlow team has deep insights and knowledge in D365 from a functional, technical, and roadmap perspective. This is one of the key factors that drivesExFlow to evolve and adapt to Microsoft’s development in a way that an external solution working with many different ERPs never can do as focused. Two recent examples of this are ExFlow’s support for the new landed cost module in D365 F&O and ExFlow’s support for project operations. In addition, ExFlowhas the ability to co-exist and leverage other ISVs within the Microsoft Community.

Today, SignUp´s vision is to be the global forerunner in financial process automation. Our core today is the AP Automation process and there is still huge potential to help Microsoft D365 customers to increase their level of automation and digitalization in the AP process. ExFlow has featured AI/ML functionally for the last two years and the usage of this functionality is steadily increasing. “Keeping up with Microsoft’s development and sales in itself drives expansion for ExFlow and therefore SignUp will also expand to approx. two new countries per year – during 2021 we opened offices in the US and the Netherlands. So far this year we have started an office in Singapore,” concludes Hedin.
